Booking, Cancellation, and Refund Policy
Effective date: May 1, 2026
This policy applies to consultations, programs, digital materials, and physical products sold through Hearthroot Nutrition & Wellness.
Consultations and bookings
Payment is due in full at booking unless otherwise specified.
If you need to cancel or reschedule, please do so at least 24 hours before your appointment.
If you cancel with enough notice, you may:
- reschedule once at no charge, or
- receive a refund minus any nonrefundable processing fee, if applicable
If you cancel late or do not show up, the session fee is forfeited, unless we choose otherwise in writing. Please contact us if there are extenuating circumstances preventing you from attending your scheduled appointment. We do not guarantee any refunds, partial or complete, but we may be able to transfer your fee to a different date.
Programs
For multi-session programs and packages:
- sessions must be used within 12 months
- missed sessions without required notice are counted as used
- payment plans, if offered, remain due according to the agreed schedule unless stated otherwise in writing
Digital products
Because digital materials are delivered immediately, all sales are final unless required otherwise by law or unless we state a specific refund period on the sales page.
Physical products
We accept returns of unused physical products in original condition within 14 days of delivery. Buyer is responsible for return shipping unless the item arrived damaged or incorrect.
If your item arrives damaged, contact us within 7 days at tmillarycv@proton.me with your order number and photos of the damage.
Exceptions
We reserve the right to make exceptions in unusual circumstances.
Chargebacks
If you have a problem with an order, contact us first at tmillarycv@proton.me so we can try to resolve it. Filing an unjustified chargeback after receiving the product or service may violate these terms.
